Carlton & United Breweries (CUB) needed a secure, cloud-based system to provide over 200 users with a fast, single location integrating both paper and digital born Proof of Delivery documents.
Challenge
CUB wanted to improve their POD (proof of delivery) documents process across the business. With the introduction of on-glass POD combined with a goal to improve access efficiency, a solution was needed to integrate BAU (business-as-usual) dockets and historic dockets into a secure, central digital repository that enabled advanced search capability, provided timely access to all dockets and integrated back-catalogue records.
Solution
Micro Image worked with CUB to implement Micro Image’s proprietary cloud-based software to centrally host all POD documentation. Micro Image created an optimised digital storage and retrieval solution specifically suited to CUB requirements.
Each day, physical dockets from CUB’s nationwide deliveries are digitised by Micro Image, capturing key meta data for CUB staff to immediately locate individual POD’s, digitised documents are live and fully accessible within 24 hours. CUB uses a combination of paper and on-glass PODs. On-glass data is processed to create a digital born POD. Delivery information including the customer signature is embedded and ingested creating a single location for all POD’s and an efficient hybrid collection system. Documents are securely managed and stored in the Micro Image cloud based platform.
Improving Data Utility
To ensure over 1 million existing dockets were integrated into the new system, a searchable text file & image file was created for each historic record, CUB are now able to perform a text search across all data, whether it is client name or number, load number or warehouse. Creating searchable records provides improves data utility without the additional cost of recreating metadata manually.
Outcomes
- Efficiency Boost: Over 3.5 million POD dockets have been digitised to date. Access to these PODs has improved information retrieval speed, enabling fast resolution of billing and customer queries and analysis of data.
- Cost-Effective Operations: With over 200 users across CUB able to securely access these records online via the Micro Image cloud platform, the need for physical storage and manual handling has been eliminated.
- Seamless Access: The digitisation of previously stored historical records and the migration of this data into the new system has enhanced the ability to quickly retrieve older records.
CUB says: “Our PODs are hosted securely on the Micro Image platform. We combined this with daily digitisation of our paper PODs and we now have a single location for proof of delivery information with security and fast retrieval.”
